Based on the role assigned to a profile, a participant can perform certain actions on a workflow instance in a business workflow.

The listing page (also known as the instance list page) has Quick Action buttons that come in handy to make quick changes or review the instance.

Quick action buttons

Locate the buttons under the Actions column as shown in the illustration.
The frequently used action buttons are listed below:

  1. Receive: Used to move the asset forward to the next group.
  2. Send: Used to accept the asset from the previous group.
  3. Edit: Used to modify details of an instance – only editing the attributes is allowed.
  4. View Timeline: Used to monitor the position and progress of the instance in the workflow.
  5. View Details: Used to access the detailed information view of all the attributes in an instance.

To access the details of an instance in a new tab, hover over the View Details button and click Ctrl+ left mouse together to open the details of an instance in a new tab.

  1. Download: Used to save the instance's report in the logged-in device.

  2. Clone: This button is used to clone an instance. Every cloned instance gets a new reference ID.

  3. Click on the clone button to clone an instance.

  1. This opens a Create sidebar. All the information is already entered across all textboxes.

The Create sidebar is used to update any information if required while cloning an instance.

  1. After making all updates, click on the Save button to create the instance.

  2. View the instance on the instance listing page.

  1. The Comment option will auto close as soon as a user performs any action on the screen.

12.1 On the workflow instance listing page, right-click on any instance row to view Comments pop-up and if not required to enter any comment, click anywhere on the screen or scroll to see Comments pop-up disappear.

  1. User can view only one timeline at a time, any other timeline opened previously will auto collapse once user selects a new timeline.

13.1. On the workflow instance listing page, click on any other Timeline icon to see the already opened timeline getting closed automatically.

  1. For users, workflow instance listing page will show the Actions column as an overlay, if:

    • Columns appearing on screen are not well within the limit of the screen.
    • When expand and zoom in features are used.
    • When resizing of the columns is used.
    • When left navigation menu is opened.

14.1. Click on the Columns option and select multiple attributes to see the Actions column change to an overlay column.

14.2. To view the hidden columns behind the Actions column on the workflow instance page, move the horizontal scroll bar to right side of the screen.

15. For workflow instance listing page, platform will not show the Actions column as an overlay, and no horizontal bar is displayed, if:

  • Columns appearing on screen are well within the limit of the screen.
  • When collapse and zoom out features are used.
  • When left navigation menu is closed.

15.1. Click on the Columns option and choose few attributes to see the Actions column not change to an overlay column.

15.2 Now, the Action column is not an overlay column and no Horizontal bar at the bottom of the screen appears.

  1. Platform will not display Hide/Show option for Actions column when the columns appearing on screen are well accommodating within the limit of screen.

16.1. On the Workflow instance listing page, click on the Columns and select less than five number of columns, so it fits well within the screen and click Save.

16.2. Now, if all the columns are well fitted within the limit of screen, no show/hide options will appear.

16.3. If, number of columns exceed the screen size or any resizing is done which results in exceeding screen size, Show/Hide Actions Column option appears.

  1. User can view Expand timeline view mode and downloaded timeline images distortion free.

17.1. Click on the View Details icon of a workflow instance to view the details of the selected workflow instance.

17.2. Click the Expand Timeline View icon to view the workflow timelines distortion free.

17.3. Click on the Download Timeline icon to store the file in your local drive and view the file without any distortion.
