Once the DL Freight™ eCommerce platform analyses the data, one consolidated invoice is generated for all the shipments.

N number of shipments are combined and raised as one invoice.

View Invoice

  1. Login to your DL Freight™ eCommerce participant account.
  2. Click on the Business Workflows page from the left Navigation Panel.
  3. Select the required Business Workflow.

  1. Select the required invoice from the Instance listing page.

  1. Click on View Details icon on the right side of the screen to view the invoice details.

  1. Upon clicking on View Details icon, the Instance Details page appears, you can view the invoice details.

View Invoice status

  1. Upon clicking on View Details icon, the Instance Details page appears, you can view the invoice status under the Invoice details section.

Retailer has the visibility to check all the Invoice statuses such as, Not ready for payment, Invoice initiated, Invoice posted, Invoice posting in SAP, Payment Failure, and Payment settled.

  1. Check any invoice status in Retailer SAP system with the help of the SAP reference number.

View Total Accessorial Charges

Retailer can view a breakdown of the invoice details in terms of the total accessorial charges added by the carrier for that specific invoice.

  1. Select the required invoice from the Instance listing page.

  1. Click on View Details icon on the right side of the screen to view the Invoice breakup with taxes.

  1. Upon clicking on View Details icon, the Instance Details page appears, and you can view the Total accessorial charges details.

View Overcharges details

Retailer may view all the overcharges details and breakdown made on the accessorial charges at an invoice level.

  1. Upon clicking on View Details icon, the Instance Details page appears, and you can view the Overcharges details.

Approved/Rejected Invoice

  1. Click on Update at the top right corner of the screen to Approve/Reject the invoice.

  1. An Update sidebar appears from the right side of the screen.
  2. Select Approved/Rejected from the Invoice remark drop-down as required.
  3. Click on Update at the bottom right corner of the screen.

If Retailer rejects the invoice, carrier gets notified with rejected remarks.

  1. After selecting Approved, click on Update at the bottom of the screen to update an invoice.

If the invoice is under Retailer approver, you can see the Invoice Status as Invoice Initiated.

  1. Now, click on Send at the top right side of the screen to send the approved invoice to SAP for payment.

Next, the Invoice goes to Retailer SAP system for the payment. The invoice status is updated to invoice posted, and the SAP reference number is generated.

  1. View the SAP reference number under the Invoice details section.

Once Invoice is acknowledged by SAP system, invoice status changes to "Invoice Posting in SAP".

  1. View the Invoice status as Payment Settled in the Invoice details section after the invoice amount is paid to the carrier.

View Validation details

Retailer can view the number of flags raised for the specific shipment.

  1. Upon clicking View Details, the Instance Details page appears, view the Validation details.

The process is complete if there are no Red Flags in the Validation details section. If in case, there are Red Flags in the validation details section:

  1. The invoice is sent to SAP, and a credit note is generated for the carrier and,
  2. Carrier gets an email notification with Reference code of credit note,
  3. Based on Carrier's approval for Credit note amount, payment settlement of the credit note happens in the future invoice payments by the retailer.
