To view all instances under a Business Workflow:

  1. Login to the Asset Track platform with your operator credentials.

After login, Business Workflows is the default page.

  1. On the Business Workflows listing page, click anywhere except the Actions column of your desired business workflow.

Next, the instance listing page appears.

  1. Click on the Refresh icon present with the workflow name to get the updated instance list.

  1. Click on Expand at the top right of the screen to get a full screen view of all instances.

  1. Next, hover at the top of the screen to view and click the Collapse option to return the instance list view to normal.

  1. Now, click on Collapse to return to the original position of the instance list view.

The platform also offers zoom in and zoom out features for a better view of the platform.

  1. Use the + and - icons respectively at the bottom right corner to zoom in or zoom out list of instances.

The instances can be maximized upto 200% and minimized upto 50%.

Export option

  1. Click on Export at the top right side of the screen to export instances from your workflow.

  1. Now, select the desired option from the drop-down list, click on the Current Columns option to export specific columns.

  1. Similarly, click on the All Columns option to export all workflow instances.

A notification Request has been submitted successfully. appears at the bottom left of your screen in both cases.

  1. Check your email to access the exported instances under your workflow.

Manage Columns

  1. Click on the Columns option at the top right corner to update the columns to show/hide information as required.

  1. Now, select/deselect columns as required and click Save at the bottom right corner of the screen.

A notification Dashboard settings have been saved. appears at the bottom left of your screen.

  1. View your selected column(s) on the instance listing page.

Filters option

Filters option lets you see applied filters on a business workflow to search instances i.e., if an instance follows the given conditions, only then it will be visible to the operator.
A Business Workflow can only have one filter applied. You can apply conditions based on each column under a Business Workflow.

  1. Click on the Filters option at the top right corner of your screen to check the added filters or create a new filter on your instance listing page.

Initially, there will not be any added filters to the Business Workflow.

Create Filter

  1. Click on the Filters option at the top right corner to add a new filter.

A Filters sidebar appears from the right side of the screen.

  1. Click on Create new filter at the bottom right corner of your screen to add filters.

  1. On the Create Filter page, enter and filter (as applicable) the required information to add and click Next at the bottom of the screen.

  1. Enter the filter name in the next screen that appears and click Save.

View the added filter just above the instances.

Alternate approach to create the filter

  1. To create a filter, enter a particular value in the Search tab of a column, which is common across all records.

  1. Now, a Save filter option is visible beside the searched tag. Click Save filter to save the current filter.

Next, a Create Filter window slides in from the right side.

  1. Enter the filter name in the respective field.

  1. Check the Save with the current columns checkbox to save the filter with current columns visible on the listing page.

Save with the current columns checkbox helps viewing the filtered data using saved filters with your column preferences.

  1. If required, click on the + Add more filters to add more filter values.

  2. After entering the necessary details, click on Save at the bottom right corner to create the filter.

A success notification with the filter name appears at the bottom left of your screen after creating the filter.

Switch between the predefined filters

  1. Click on the Business Workflows from the left Navigation Panel.

  2. Click on the required Business Workflow.

A new screen appears listing all the Workflow Instances.

  1. Similarly, if you switch between the predefined filters (All) and customized filters like Filter1 etc., the entire workbook grid reloads including column headers and the data.

  1. Also, if you switch between the predefined filters (All) or customized filters like Filter1 saved with the current column, the entire workbook grid will reload, including column headers and the data.

  1. Also, if you switch between the predefined filters (All) or customized filters like Dashboard2 saved without the current column, the platform does not reload the entire column headers; instead, it reloads the data.

  1. If you apply search on any filter (predefined/customized), the platform does not reload the entire column headers; instead, it reloads the data.

Update Filter

  1. Select a filter and add another filter to it using the search tab.

This enables Save filter and Save As filter options for the filter.

  1. Click on Save Filter to update the existing filter.

This opens an Edit Filters sidebar.

  1. Click on Update at the bottom right corner to save this filter.

The name of the filter can also be changed from this sidebar.

  1. A filter can also be updated by clicking on Filters at the top right corner.

  1. Locate the desired filter from all available filters and click on the Edit icon to update.

The Save as Filter option enables saving a new filter along with additions of the already created filter.

  1. Next, on the new Create Filter page make the necessary changes and click Save.

A notification Filter updated successfully appears at the bottom left of the screen.

Delete Filter

  1. Click on the Filters option at the top right corner of the screen.

  2. A window, Filters slides in from the right side. Here, all the filters are listed.

  1. Select a filter and click on the Delete icon at the right to delete a filter.

A pop-up message Are you sure you want to delete this filter? appears.

  1. Click Yes to confirm deletion.

View Instance in New Tab.

  1. Click on the Business Workflows from the left Navigation Panel.

  1. Next, click on your desired Business Workflow to view its instances.

The Instance listing page appears.

  1. Now, keep your cursor over the View Details icon under the Actions column of your desired instance.

  1. Next, hold Ctrl + left mouse click to open the instance in a new tab.

The instance details page opens in a new window.

  1. View the comments added on a particular instance by clicking on the message icon under the Actions column.

Upon clicking the Message icon, a Comments sidebar slides in from the right side where comments can be viewed.

Resizing of Instance Columns

The platform offers a feature wherein you can resize the columns of an instance under the Business Workflow.

  1. Place your cursor at the corner of a column and drag it to increase the size.

The application for the specific user retains the resizing of the columns. Every time the user login, the application maintains the preferences at a browser level.
Rather than the user level, the settings are maintained at the browser level.

  1. Click on View details icon under the Actions column of your desired business workflow.

  2. Next, on the instance details page, click the Maximize icon to resize the columns under the instance details page.

The resized columns remain same on the platform i.e. the changes made by the user are saved in the platform.

The platform retains resizing for that specific user.
The platform retains settings at the browser level rather than the user level.

  1. Next, View the Data Tables that display details of each instance.

The columns under Data Table are customizable as needed.

These changes are saved for the operator to view on next login.

When comparing two instances, the resizing of data table columns for SOA attributes is also possible after their selection.

  1. From a Business Workflows instance listing page, click on View Details icon of any desired instance.

  1. On the next page, click on View Timeline.

  2. Next, select 2 Business Entities by clicking on the boxes above their respective names in the timeline.

  1. Next, click on Compare at the top right side of the screen.

  1. On the next page, click on the VIEW TABLE option.

This opens an Attributes sidebar with all attributes mentioned.

  1. Drag the columns in this sidebar to change their size.

These changes are saved at the browser level.

  1. Next, resize the data columns under SOA in tracing feature.

  2. After entering the details of an instance, click on the View Tracing at the top right of the screen.

  1. Now, click on any of the radio buttons of a Business Entity to open the tracing sidebar.

  1. From the tracing sidebar, drag and resize the columns as required.

  1. The size changes are saved at the browser level for better convenience.

View Instances on Workflow Instance Details Page

  1. Click on Business Workflows at the left Navigation Panel.

The business workflows listing page appears.

  1. Click anywhere on the required Business Workflow, except Actions column.

A new screen appears listing all the Workflow Instances.

  1. Click on View Details icon on the right side of the screen of the desired instance.

  1. Now, the instance details page appears. Hover over on the Video icon to view the file name and file extension as a tooltip.

Users can view the audio (.mp3, .wav and .ogg), video (.mp4 and .webm image (.jpeg, jpg, .jpe, jfif, .png and .gif), word doc (.doc and .docx) and pdf (.pdf) along with the file name on the workflow instance details individual's page.

  1. Click the video icon, a new tab opens with the video.

  2. View the file name at the top and the file name and extension at the bottom of the video.

  3. Likewise, View the file name at the top and the file name and extension at the bottom of the Audio, PDF etc.
