Prebuilt Filters

  1. There are pre-built filters to segregate the workflow instances in the selected business workflow.
  2. The default filters are Pending for Acceptance and All located at the workflow instance list.

Prebuilt filters

Prebuilt or default filters cannot be customized or removed from the DL Asset Track platform.

Adding and Customizing Filters

  1. Click on the Filters button in the top right corner to view added filters on the instance listing page. Initially, there are no added filters to the Business Workflow.

The Filters button enables viewing applied filters on a business workflow to search instances, i.e., if an instance follows the given conditions, only then is it visible on the list.

  1. To create a filter, click on the Filters button in the top right corner of the screen.
  2. This opens a Filters sidebar from the right side of the screen.

No existing filters added

  1. Click on the Create new filter button to add a filter.

  2. Next, based on the requirements, select respective values for columns and dropdown boxes.

The columns seen under the Create Filter section are the same columns selected by the user.

  1. Click on the Next button to conduct a few more steps before saving the filter.

  2. To save the filter only with the currently selected columns, click the Save with the current columns checkbox.

  3. Click on the +Add more filters button to add more filters to the already created filter.

  4. Finally, enter a Filter Name in the filter name textbox.

Create filter sidebar

  1. After selecting values, click on the Save button at the bottom of the Create Filter sidebar.

  2. The saved filter is seen in the Filters sidebar. Also view the newly created filter beside the pre-built filters on the instance list view.

  3. Another way to create a filter is by searching for specific instances using the search bar under each instance.

  4. A new screen appears where the applied filter and values listed below the relevant columns in the workbook grid can be viewed.

  5. If deleting the applied filters is required, click on the Clear All button to delete all applied filters.

  6. Click on the Save filter button to save the filter.

  7. A Create filter sidebar appears from the right side of the screen.

  8. Enter the filter name in the Filter Name textbox and click on the Save button to save this filter.

  9. Next, a Save As filter button is also enabled upon adding more filters to the already created filter.

  10. Upon clicking the Save As filter button, a Create filter sidebar appears from the right.

  11. Enter the name of this filter and click on the Save button at the bottom to save it.

  12. View the saved filter in the filter column above the workbook grid.

The platform will have right and left horizontal scrolling options when the applied filter columns extend beyond the screen.

A filter can also be saved through the search tab of a particular column.

Follow the steps below to save a filter directly from the Search tab:

  1. On the instance page of a Business Workflow, search for a particular value of any column in its respective Search tab.
  2. The selected filter is seen under the columns in the Applied Filter option.

  1. If the applied filter needs deletion, click on the Clear All button to clear all applied filters.
  2. If not, click on the Save Filter button to save this filter.
  3. This opens a Create Filter sidebar from the right side of the screen.

  1. Follow the similar steps of filter creation and click on the Save button to save this filter.

  2. The saved filter is seen beside other filters at the top of all columns.

Quick Edit Pop-up Screen

  1. Click on the Business Workflows tab in the Navigation Panel.
  2. Choose the required Business Workflow.

  1. A new screen appears listing all the Workflow Instances.
  2. Click on the Dashboard 2 and then click on Quick edit.

Dashboard 2 is a customized filter that is added based on user requirements. The universal filters are All and Pending for Acceptance across the platform.

  1. A Quick edit sidebar appears from the right side of the screen.
  2. You can view and update the related attributes from the quick edit pop-up window.

Update a Custom Filter

  1. To rename an existing filter, click on the Filters button in the top right corner of the screen.
  2. This opens a Filters sidebar.

  1. Locate the desired filter and click on the pencil-like icon before it.
  2. A new Edit Filters sidebar appears on the screen.

  1. Here, click on the +Add more filters button to add more conditions to the created filter.
  2. Click on the cross button beside an applied condition or click the remove button to delete the added condition.
  3. After completing operations, click on the Update. The operation saves the same filter with updated conditions.
  4. A notification appears at the bottom left of the screen displaying: Filter 1 saved successfully

Filter 1 is a dummy name taken, for instance.

  1. Likewise, selecting the Save As option enables the creation of a new filter with a different name.
  2. The Save As option can also be used after selecting a filter.
  3. Select a filter from the already created filter.
  4. Search for any other value across other columns.
  5. Upon selecting another value, the Save filter and Save as filter options are enabled.

  1. Click on the Save filter button to update the already created filter.
  2. This opens a Edit filters sidebar from the right side of the screen. Enter necessary details and click on the Update button to update the filter.

  1. Click on the Save As filter option to save the filter with a new name.
  2. This opens a Create filter sidebar from the right side of the screen. Enter the necessary information and click on the Save button to save this filter.

Delete Existing Filter

  1. To delete a filter that is no longer required, click on the Filters button in the top right corner of the instance listing page.

  1. A Filters sidebar appears on the screen containing a list of all the filters added.

  1. Click on the bin icon on the right of a filter to delete it.
  2. Click on the Yes button on the prompt screen that asks for final confirmation.

  1. This further deletes the filter.
  2. A notification is displayed at the bottom left of the screen displaying "Filter 1 deleted successfully."

Switching between the predefined filters

  1. Click on the Business Workflows tab in the Navigation Panel.
  2. Choose the required Business Workflow.

  2. Upon switching between the predefined filters (All/Pending for acceptance), the platform will not reload the entire column headers; instead, it will reload the data.
