Store and DC Waiting time for Outbound loads
Understanding the process change for claiming a Waiting Time Accessorial Charge
The updated DL Freight Waiting Time claims process for Outbound loads has the following features:
- Carriers will no longer submit Store and DC Waiting Time IDWs and Accessorial cases (for Outbound Loads) for a Load ID via email; they will be submitted through the DL Freight platform.
- Carriers no longer need to worry about adding an incorrect IDW case number to the Waiting Time accessorial claim; the system will automatically add it.
- All necessary stop information for the location carriers claiming wait time for a shipment will be pre-populated. If required, carriers need to add the arrival time, departure time, and route number to the claim, and the system will add the rest.
- Carriers will not need to worry about adding the approved accessorial claim to the invoice; the system will automatically add the approved charge to the invoice.
EDI carriers will need to submit their IDW and make the Waiting Time claim within the DL Freight carrier portal before submitting their invoice to DL Freight to obtain the accessorial approval and Incident Number.
The Wait Time claim process
Here are the new request and approval processes for the Wait Time accessorial claim. The steps will instruct how to create the IDW and further create the subsequent Store or DC Waiting Time accessorial claim.
Creating an IDW
When the driver contacts about a possible wait time incident, submit an IDW for a stop for Load_id.
Initial Driver Waiting (IDW) is a scenario when the driver carrying a shipment reaches out to your organization if there is an expected waiting time upon his arrival at a store or DC.
- Log into DL Freight.
- Click on the Business Workflows tab from the Navigation Panel.
- Next, select the required business workflow from the Business Workflows page.

- Find the required load from the Load Listing page by using the Search filter under the **Load_id **column.
If the Load_id is not found, please refer to the section:
Submitting an IDW for a Load ID not yet present in DL Freight.
- Click on the pen-like icon on the right-hand side of the load under the Actions column.

The Edit button, also known as the pen-like icon, is only visible in the Actions column if the load is in a state where an accessorial charge can be added.
- Upon clicking the Edit button, the Update load window appears on the screen.

- When the Update Instance window opens, scroll down to the Wait Time claim section and click on the down arrow on the right to expand.
- Enter the values into the claim window for that stop.
- Enter the driver’s arrival time into the Arrival_time field.
- If you are delivering to a store, and the format field is NOT present, enter the Route number.
- After filling in just this 1, or potentially two fields, click on the Update button to submit the IDW.
The rest of the relevant load information for the IDW is pre-filled by DL Freight. RDC loads or DC Loads do NOT require a route number to create the IDW.

Viewing the IDW
Click on the Business Workflows page from the Navigation Panel on the left-hand side of the screen.
Next, select the required business workflow and click on the paper-like icon present in the Actions column.
Click on the View Details button of a load to go into the detail view.
Scroll down to the Accessorial Claim section and locate the Wait Time claim. Click on the View Table link next to the claim to navigate the Data Tables page.
- On the data table page for the Wait Time claim, view the status of the IDW for this claim.

Submitting an IDW for a Load ID that is not yet in DL Freight
Please refer to this section ONLY if the Load_id within DL Freight is not found when trying to create an IDW. Please be advised that this functionality only addresses loads not yet within DL Freight. If the load is found in the Business Workflow list, IDW submission is not possible via this method.
- Click on the Business Workflows page from the Navigation Panel on the left-hand side of the screen.
- Click on the Wait Time icon in the top right of the screen.
- The Wait Claim pop-up opens and appears on the screen.
- Ensure that the “Submit IDW” radio button is selected.

Data fields marked with an asterisk - a small starlike symbol (*) - are mandatory.
Enter the Load ID*
Enter the Origin Location ID*
Enter in the Stop Location ID* (that you are submitting the claim for)
Enter the Stop Location type*
Enter the Load’s Format
Enter the Route number
Enter the Trailer number
Enter the driver’s arrival time*
After entering data in all fields, click on the “Submit” button to submit the IDW.
After submitting the IDW, a mail is received on the registered email that contains the case number for the IDW.
You will receive the email on the registered email address used for signing into the platform.
- The Case number is needed while creating a Wait Time claim for this Load_id.

- Click on the pen-like icon on the right-hand side of the load under the Actions column.
